The file manager allows you to store files linked with contacts, units and job templates. 


You can choose to store files on your local/network file system, or store within the EVOPOS database. We recommend using the file system.


Database - Storing files within the database allows you to easily access files across multiple workstations, the downfall is that this greatly increases the database size and backups.


File System - Using the file system allows access to files from EVOPOS and Windows file explorer. When adding files, EVOPOS will copy the file to the file system location. EVOPOS will also create folders for each contact so files can be found quickly through Windows file explorer.



Setting up your file system

We recommend setting up a shared network drive for storing files, so each workstation can access files. Once you setup your network drive, you can set the file system location in EVOPOS, in this example: (Z:\EVOPOS).

2. Set your file system location

  1. Open the EVOPOS file manager (choose add file on contact)
  2. Click Maintenance
  3. Choose set file system location
  4. Find and choose your file system location



3. Start adding files

When you add files EVOPOS will now copy the file to your file system location. It will also create folders based on what files you are adding.



File is moved to file system location and imported into EVOPOS.



File can be found using file explorer or EVOPOS.




Maintenance

Export database files to file system location

This option help us migrate from the old database system to the new file system. It will export all files stored in the database to the file system location, and update the files with their new location.


Find and move local files to file system location

This option helps move local files that have been added from a C drive to the file system location. You might have to run this on multiple workstations to migrate all files added this way.


Troubleshooting

EVOPOS can experience issues when network drives are not setup correctly, or using EVOPOS over the internet.


Cannot find file

EVOPOS will give you a warning that it cannot find the file in that location. This could be caused by:

  • File has been deleted from that location
  • Workstation does not have access to that location - network drive not setup
  • File is on local workstation (C:\EVOPOS\Invoice100100.pdf)



Cannot connect to network drive

If you lose access to your network drive, EVOPOS will give you are warning when you open the file manager / add a file.
